My strategy for dealing with email back-log - The Chief Happiness Officer Blog So as I blogged about yesterday, emails have been piling up in my inbox to the tune of 200 unanswered emails, some of them I kid you not from way back in Februrary. I really wanted to get down to an empty inbox, but lately when I sat down at my computer to get it done I didnt. I looked at that mountain of mail, many of which I really shouldve responded to long ago and felt really bad about, and kinda gave up in advance. And this is where I could choose between two approaches. Theres the Just get it done approach. This means ignoring how much it sucks and just doing it anyway. Knuckling under, putting my nose to the grindstone and my shoulder to the wheel and some other body part to some other part of machinery and answer those darn emails. Or I could ask myself the following question: How can I make it fun? How can I answer those emails in a way that feels effortless and makes me happy? Being the Chief Happiness Officer, I couldnt really go for the former option so I was forced to try to make it fun. I asked for advice on the blog yesterday and got some really good input. After thinking about it I designed a strategy and got all of my emails answered in less than a day. That also includes the 50 or so emails that came in during the day. So without further ado, heres the strategy that worked for me: 1: Accept myself First of all, I stopped wasting time berating myself for getting into this situation. If theres one thing experience has taught me its that Im the kinda person who lets a mess build and then cleans it all up at once. I know that other people ar way more organized and get stuff done as they go (the bastards!) but Im just not one of them and Im not going to waste time beating myself up over it. Im a lazy person and this is not a problem, its a huge advantage. 2: Track and publish the number of unanswered emails I published the number of unanswered emails and kept updating it during the day. This meant that I could see progress all the time. Your inbox looks pretty much the same with 100 emails in it as with 200. Keeping track of the number meant I knew I was getting results. Also publishing the number kept me going a few times when I felt like quitting because I reminded myself how cool it would be to end the day with 0 unanswered emails AND brag about it here :o) 3: Move tasks to my todo-list But possibly the single most important thing I did was use my todo-list. If answering an email required me to perform a more serious task, Id put the task on my todo-list and answer the email saying when I would get back with the actual information. This allowed me to stay in the flow of answering emails, without getting sidetracked by writing documents etc. 4: Get out of the house And of course I went to my favorite caf?. But I always do that when I need to get work done. 5: Use snippets I also used a tip from Michiel Trimpe who suggested using email snippets that can easily be inserted into an email. Specifically, I used the following text a lot: I apologize for taking so long to reply to your mail Ive been drowning in email lately :o) 6: Dont be afraid to say no (Updated) I almost forgot this one: Making sure to say no, when no is the answer. I get a lot of invitations, links, ideas, proposals, etc. Most of them are very good, but some are just not suitable for me. Ive been training myself to just say no. In a polite way, of course :o) One tactic I considered, but didnt use I did think about declaring email bankruptcy as George suggested but I decided that would be cheating :o) The upshot The result of all of this was that I spent a nice, fun, productive day doing a task that Id been dreading. A lot. For a long time. The key, for me at least, is that I didnt ask myself how I could get the job done the fastest or the most efficiently my focus was on making it fun and pleasant. If I can do that, I know I can get the job done and I think that aspect is missing from most of the productivity systems and advice out there, which is focused entirely too much on the mechanics of productivity. 10 reasons why you didnt get the job - Youll probably never know exactly why you didnt get the job. If youre like most  job seekers, it will remain an unsolved mystery. Most employers do not provide useful feedback for fear of legal ramifications or other hostile actions on the part of unhired applicants. That said, there are typical reasons that may explain why you did not get the job: Your  resume didnt make a clear case  for your qualifications. You did not articulate a connection between your skills and accomplishments and the employers needs. Its likely that a computer scanning system, known as an  applicant tracking system, reviewed your  resume for keywords  and phrases necessary to match you to the employers needs. Even if it is very clear to you that youre well suited for the job, its your responsibility to make sure that you demonstrate your skills and accomplishments in your resume. Do not rely on a cover letter or any other documentation you may send with your application to describe key reasons why you are well suited to the job. Its possible your target employer will not even see that information until you pass the resume screen. There were  grammatical or spelling errors  on your application materials. This complaint often comes up when employers and recruiters gripe about job seekers. Especially if you are applying for a job that involves writing letters or correspondence, such as an administrative assistant, one typo or error can make the difference between landing an interview or not. Its difficult to proofread something you wrote yourself, so consider asking an eagle-eyed friend to  review your cover letter  and resume before you send them in. Alternatively, try to read your resume backwards. Of course, always spell-check your work, but be aware that spell-check doesnt pick up every error. You were unqualified or overqualified.  This is another common recruiter complaint. Many job seekers apply for every job that seems reasonable to them, but employers may consider the candidate ill-suited to the job. As a rule, do not expect interviews as a result of applying for positions  you are overqualified  or not quite qualified to do. Employers filled the position internally. Sometimes, employers advertise jobs they intend to fill internally. When this happens, you never had a chance at an interview, anyway. Its frustrating for job seekers, but an unfortunate fact of the job search. You already  are  asking for special favors in the interview stage. Consider this  an interview killer.  If you seem demanding or inflexible during the interview stage, assume the employer will worry about how youd act once you have the job. You didnt seem very interested  during the interview.  Once you win an interview, you have a lot more control over your chances to land a job. While you dont want to be overly solicitous, as employers may interpret that as desperation, you should muster energy and some enthusiasm for the job. When you describe your skills and why you are a good fit, make sure you communicate your interest and that you dont come off as a cold fish. Your interviewer will be looking for examples of specific skills in your answers, but he or she is also evaluating your personality and deciding if it is a fit for the team. You dont do a good job distinguishing your personal contributions in your current or previous job. During the interview, you dont want to take 100 percent credit for everything in your work history, but its important to avoid too much we language when you talk about what youve done in the past. Make it clear what accomplishments you own and separate them from the teams accomplishments. You said something inappropriate in the interview.  Did you let it slip that your boss was a real jerk? Did you make an off-handed comment putting down a team member? Did you get a little too comfortable in a lunch interview and use language more appropriate for the locker room than the boardroom? Even in an informal environment, dont let your guard down during an interview: everything you say can, and will, be held against you. Your references were unenthusiastic.  Do not underestimate the value of a strong work reference. If you come close on every job, but dont wind up with an offer,  rethink your references.  Could they be saying something that causes the employer to hesitate? Consider identifying new people to vouch for you. Employers found inappropriate or  questionable information about you online. Expect employers to Google your name and to find photos and  comments posted on social media profiles. But, how do you not start every sentence with i, anyway?Well, I can't tell you the exact correct way to do this but I will say that it won't happen. It's just the way it is.When I write a resume I do it the exact manner as it was written on the resume that was sent out to the companies. My job was to get the information to the company and get the resume out in front of them in order to entice them to give me a call. So, that's what I do and so what do I do? I start every sentence with myself, because that's what I know how to do.Sometimes it gets confusing when you've all that extra time and you want to make sure that your resume is on its way to the right place. You need to make sure that you know how to write a resume the way that was written on it. That's how you are going to have success .You can also see where this starts to become confusing at times. So, you might ask yourself, how can I start every sentence with me? Well, the first thing that I do is to look for the first letter of the first word on the first line. Once I know what this is, I can use that as a guide.So, I will look at the first letter of the first word of the first line, the last letter of the last word, and the first letter of the first word. So, the first letter of the first word of the first line is I. Then, the first letter of the last word of the last line is the I. I can use this method until I get to the third letter of the last word.There you have it. You can use this method to start every sentence with i and it's not difficult to do.

We all know how to write an e-mail, but its important to pay attention to the details and spend time thinking through the purpose of your communication. With a degree in Broadcast Journalism, I have an eye and appreciation for a well-written e-mail and feel a sense of importance when crafting such communication. While it can be easy to quickly draft an e-mail and click send to share the information timely and efficiently, its important to take a moment to consider your words, proofread the e-mail and ensure youre expressing what you need to say eloquently and concisely . Ive included steps below on how to write better e-mails to ensure that you come across as professional and intelligent.Rule 1 Proofread, proofread, proofread. Be sure your spelling and grammar is correct in the e-mail. I recently had a candidate who sent an e-mail to a potential employer, and the hiring managers name was misspelled throughout. Ensure you are spelling the individuals name correctly, and use spellcheck to avoid careless errors. Proper grammar can say a lot about someone, and taking time to write a well-written e-mail will help you stand out among a pile of correspondence. Unfortunately, one little mistake can detract from the entire correspondence, undermine your credibility and cause your note to be quickly moved to trash.Rule 2 Avoid using I in the e-mail. Instead of using I in sentences, use you more often to make the e-mail more about the recipient and less about yourself. Let the recipient know what you can do for them and not what they can do for you. For exam ple, I would say, Lets get together and talk, instead of I would like to get together with you. Ive found that keeping the focus on the recipient and not on me is a subtle way to make them feel important and appreciated.Rule 3 Keep e-mails concise and to the point. According to an article by Fortune, the average email user receives 147 messages per day and deletes 71. One way to basically guarantee your email either gets deleted or flagged for later and never looked at again is to ramble on and make the recipient work to get to your point. Write as little as possible while getting the idea across. Keep it short and sweet.Rule 4 Always be mindful of what you send in written format. Weve all done ithit send and then immediately cringed because of an accidental reply all, spelling error or some other mistake that cannot be taken back. E-mails can be forwarded, passed on to others, saved to refer back to embarrassing faux pas, etc. and you never want to say anything in writing that you wouldnt say verbally.When it comes to e-mail communication, less is always more, and proper grammar and spelling are a must. Its also always a good idea to have a second pair of eyes read the e-mail before you send it.
